Information We Collect

Personal Information

We collect personal information that you voluntarily provide to us when you:

• Register for an account
• Use our AI assistant services
• Contact us for support

This information may include:

• Name and email address
• Company information and website
• Business preferences and requirements
• Communication history with our AI assistant

Google OAuth Data

When you sign in with Google, we receive limited information from your Google account, including:

• Your email address
• Your profile picture (if provided)
• Basic profile information

We only request the minimum permissions necessary. We never receive or store your Google password.

Connected Mailbox (Gmail)

Connecting your mailbox is entirely optional and is never required to use Getcleed. If you choose to connect Gmail from the Integrations page, we request the gmail.readonly scope so that we can find the outreach you sent that never received a reply and draft a follow-up for each one. Specifically:

• We read message metadata (sender, recipients, subject, date) for threads you sent in the last 45 days, to work out which conversations went quiet.
• For a thread that qualifies for a follow-up, we read the text of the last message you sent in it, so the drafted follow-up has context. We do not read the rest of your mailbox.
• Access is read-only. Getcleed can never send, reply, modify, or delete anything in your mailbox. Drafted follow-ups are emailed to you, and you decide whether to send them.

Your Google access and refresh tokens are encrypted at rest (AES-256-GCM) and are used only to perform the scan described above. Message content is used to produce your follow-up drafts and is not retained as a copy of your mailbox. You can pause the weekly scan or disconnect your mailbox at any time from the Integrations page; disconnecting immediately revokes our access with Google and deletes the stored tokens. You can also revoke access from your Google Account permissions page.

To generate the drafts and to tell business outreach apart from personal mail, the subject line and the excerpt described above are sent to our AI provider (OpenAI) purely to produce your result. That provider is contractually bound not to train its models on this data.

Limited Use of Google User Data

Getcleed's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

• We use Google user data only to provide and improve the user-facing features described above.
• We do not use Google user data to develop, improve, or train generalized or non-personalized AI and/or machine learning models.
• We do not use Google user data for advertising.
• We do not sell Google user data, and we do not transfer it to third parties except as necessary to provide or improve these features, to comply with applicable law, or as part of a merger or acquisition.
• We do not allow humans to read your Google user data, unless we have your affirmative agreement for specific messages, it is necessary for security purposes such as investigating abuse, or to comply with applicable law.

Automatically Collected Information

When you use our platform, we automatically collect certain information, including:

• Device and browser information
• IP address and location data
• Usage patterns and interaction data
• Cookies and similar tracking technologies
• Business identification data from visitor-identification providers: on our public marketing pages we use RB2B, which may match a visit to a work email address and the company it belongs to. It does not run in the signed-in product.

• Provide and maintain our AI assistant services

• We implement safeguards to protect sensitive business information

Cookies and Tracking Technologies

We use cookies and similar technologies to enhance your experience. You can control cookie preferences through your browser settings. Note that disabling cookies may affect platform functionality.

Our public marketing pages also load RB2B, a visitor-identification service that may resolve a visit to a work email address and the company it belongs to, so we can follow up with businesses that showed interest. It is not loaded in the signed-in product. To opt out of RB2B across every site that uses it, see rb2b.com/opt-out, or email us using the address at the end of this policy and we will remove your data.

Data Retention

We retain your personal information for as long as necessary to provide our services and comply with legal obligations. When you delete your account, we will delete or anonymize your personal information within 90 days, except where retention is required by law.

Children's Privacy

Our services are not intended for individuals under 18 years of age. We do not knowingly collect personal information from children.

International Data Transfers

Your information may be transferred to and processed in countries other than your country of residence. We ensure appropriate safeguards are in place for such transfers.
